Your office has the ability to add an additional custom note that is included at the bottom of patient Email Appointment Reminders. This is a free-text field with no character limit. You can configure this note to be included on all patient reminder emails from within your Clinic settings or you can choose to add/customize it on a per-patient basis from their Appointment Cards.
Email Appointment Notes can be added via the Practice Management System as well as the EHR.
To add an Appointment Note which will be visible to ALL patients on the Email Appointment Reminders they receive, you will need to open your Clinic settings. Click on your practice logo/name in the upper left-hand corner of the Practice Management System, click on Clinics, and select the Clinic location you would like to add the note to.
In the Clinic settings, you will see a free-text box for the "Email Appointment Note." Within this note field, you have the ability to type whatever instructions you would like your patients to see prior to coming into the clinic. For example: "Please wear a mask, and call upon arrival." This field can be used to include links and hyperlinks to specific parts of your practice website as well.
Please note that, as this functionality is a Clinic setting, you can have different notes configured for each of your clinic locations if desired.
The Email Appointment Note will also appear from the patient's Appointment Card on the schedule. If you wish to add a specific note for just one patient visit, you also have the ability to modify the note right from the Appointment Card. You will first see any text that was added into the Clinic settings but can edit the information as necessary for this patient visit.
For example, if the patient is new, then you may want them to arrive 10 min prior to their appointment time to allow extra time for checking in. You can add this right from their specific appointment and that note will also be reflected in their email reminder which is sent 24 hours prior to their appointment.
From the EHR you can also edit/add the appointment note by going to Settings -> Clinics -> then selecting the Clinic that you want to have the note attached to - or you can modify the note directly from the patient's Appointment Card as shown below.
