To block out a specific time on the schedule for all users or an individual user you can create a Clinic Note. They will be shown as white and light blue striped blocks on the schedule screen.
To create a Clinic Note, click on the arrow next to "New Appointment" in the upper right-hand corner. From the drop-down select "New Clinic Note."
From the Clinic Note screen, you will be able to select the Clinic, Start Date, Start/End Time, Time Zone, Unavailable User(s), Unavailable Resource(s), Frequency and Note. You can also select Note Only which will allow you to schedule appointments during that time while still visually blocking the schedule.
If you leave the "Unavailable Users" field blank then the block will show up on all users schedules. If you indicate specific users that are unavailable it will only show up on their schedule.
Once a Clinic Note is made, a single click on the block from the schedule will let you edit it. Trying to create an appointment for an unavailable provider will give you an Unavailable User message.
If you try to drag and drop an appointment on to the Appointment Note, you will get the Unavailable User message. The same message will appear if you edit an appointment time to a time within a blocked period.
If you would like to edit the block to a different time and there is an appointment already scheduled during that period, you will be asked if you want to change that appointment status to “To Be Canceled.”
