Credit Transfer is a type of credit transaction which allows for the transfer of a patient’s prior credit balance from a previous Practice Management System into the EZDERM Practice Management System.
To create a Credit Transfer transaction, follow these steps:
- On the PMS, go to that patient’s Profile > Financials.
- Under New Transaction, click on Credit Transfer.
- Fill out the Date and Amount of the transfer, and select the Clinic and Provider. You can also add a note if needed.
- You can link an Encounter, Appointment, or Item to this credit transfer. (If you do not link the credit transfer to any Encounter, Appointment, or Item, it will be listed as an Unapplied Transaction).
- Encounters: appointments the provider has already signed off on and therefore already have some sort of associated visit codes
- Appointments: appointments the provider has yet to sign off on and which do not yet have any associated visit codes (this is most likely where you will select from when adding in a copay payment)
- Items (formerly known as Simple Charges): Non-billable products and services that you sell in the office (the Item must be added under the patient's profile > Financials > New Transaction > Item before it will appear in the dropdown)
- Once you have selected from one or more of the above dropdown menus, you will see those selected items listed under the Description header (they can be deleted by clicking the "X" icon to the far right of each).
- Apply the Credit Transfer to the charges by clicking the Distribute button in blue or by clicking into the Applied field and manually entering a value.
- Click Post (or Post and Print Receipt if you would like to download a PDF receipt to print for the patient).
All Credit Transfers will be viewable in the Credit Transfer report under Reports > Billing > Report Type: Credit Transfer. For the Provider, Created By, and Clinic filter fields you are able to make multiple selections. Results are sorted by unapplied amount, in descending order. This report is viewable both as a Table within the PMS and as a PDF.
Credit transfers are also accessible on the Day Sheet report, under the Contents field. The report will be sorted by Credit Transfer ID in ascending order.
