To help balance at the end of the month, we recommend you run the following reports:
- Charges Report
- Reports > Billing > Report Type: Charge
- Will show which CPT codes were billed out for the DOS selected.
- Includes charge amount, insurance payments (receipts) from primary/secondary/tertiary insurance, patient payments, remaining balance on the charge, contractual adjustments (came in automatically with the payments from insurance), and manual adjustments (adjustments added manually by staff).
- It is recommended to group this report by Charge (Group by Charge) button in the bottom right) when running the report.
- Payments Allocation Report
- Reports > Payments > Report Type: Payments Allocation.
- Will show all patient and insurance payments posted in the date range selected. (Please note: you will click on the filter icon in the upper right-hand corner)

- Under the Date Type field, Post Date should be selected to pull a report for payments posted during the selected date range.
- Make sure Provider Type: Attending Provider is selected to pull all patient payments. Payments made toward Items (formerly known as Simple Charges) will not show if Billing Provider is selected (Items do not have a Billing Provider).
- Oftentimes the Post Date will be different than the day the check or payment hits your bank account, so this report will not match your bank statements perfectly. If you would like the report to match your bank statements exactly, you should either manually change the Post Date to match the date on your bank statement or hold your ERAs until the funds hit your bank account.
- Items Report
- Reports > Billing > Report Type: Items
- Will show what you billed out in Items (non-CPT codes)
- Includes Charge Amount, number of units, Tax Amount, Discounts, payments made toward the charge, and any adjustments.
- The Tax column on this report can be used at the end of the year to see how much you charged in sales tax for the year.
- Patient Refund Report
- Refunds > Patient Refunds
- Will show all unapplied payments for the Post Dates selected.
- The Payment Filter at the top can be used to select a date range and to filter unapplied payments by provider.
- This can be used in conjunction with the Payments Allocation report to see all payments (applied and unapplied) broken down by provider.
- A/R Report (Aging Report)
- Reports > Aging Report
- Because the A/R Report is a live report, the report will constantly change throughout the coming month. If you want a snapshot of your A/R exactly as it is at month's end, the report should be run on the last day of the month.
