When a provider signs off a visit note in the EHR, an Encounter is created in the practice management system.
The first step in the billing process is to look over the codes and post each encounter to create a claim. You can go to the Encounters screen either from the Dashboard > Tasks or on the left-hand menu Billing > Encounters.
Step 1: Open an Encounter.
Step 2: Make sure the Insurance Profile is Active.
Step 3: Make changes to the ICD-10, CPT codes, billed amount or any other details of the encounter if needed. Oftentimes changes will not need to be made as these codes are coming directly from the EHR based on what was documented by the provider and the fee schedule is pulling automatically from the provider's Billing Configurations. However, details of the encounter can be added/modified on this screen if need be.
Step 4: Add appropriate modifiers (EZDERM will only automatically add 59 and 25).
Step 5: Note any Billing Notes from providers or staff.
Step 6: If all looks good and you are ready to create a claim, click Post in the bottom right-hand corner. If you would like to save this encounter to come back to rather than creating a claim right away, click Save in the bottom right-hand corner.
Tips & Shortcuts:
- The patient's name in red at the top of the screen is hyperlinked to their chart if you need to view any documents/information in the chart.
- You can view the visit note by clicking the blue "View Progress Note" button in the top right.
- You can create a To Do or task for anyone in the office by clicking the blue "Create To Do" button in the top right.
- A red banner will appear at the top of the screen if the patient is in a Global Period.
