1. Ask the patient for their insurance card and driver's license and upload a copy into their chart.
- From the EHR, tap on the patient appointment > tap on Chart > Documents > Billing > Tap on the icon that looks like a piece of paper with a plus sign > take a photo of the front and back of the insurance card and front of DL > Swipe from right to left over the document to rename.
- If you have a scanner, you can also scan the insurance card and driver's license and upload it from the PMS into the patient's chart. From the PMS, go into the Patient's chart > click Documents > Billing > Choose > Upload.
2. Scan the patient QR code to check the patient into the EZ Check-In App where he/she can sign consents and fill out medical history.
- The QR code can be found by clicking once on the patient's appointment from the PMS.
- It can also be found on the EHR by tapping on the patient's appointment then double-tapping on the patient photo at the top of the screen.
- Or you can print a list of all QR codes for the day by clicking "Show List" on the Schedule on the iPad.
3. Create an Insurance Profile for each Insurance plan the patient has and check eligibility.
- If the eligibility check does not come back as approved, check to see what the error is and try to re-run. Read Eligibility Statuses and Their Meaning.
4. Add Elg/Benefits into the Insurance Profile.
- From the insurance profile, click on the Elg/Benefits button > Click Add New > Select applicable benefits from the drop-down.
- Things to keep in mind when choosing from the drop-down: Is it a family or individual plan? Is it in-network? Look for Specialist fees.
- Make sure to add a value into the "Out of Pocket Remaining" field in order for the Cost Estimator to work. If the eligibility report did not provide an option add $500.
5. Make sure that the status has changed to "Ready for Staff" after the patient brings the iPad back to the front desk.
- This allows the clinical staff to know that the patient is ready to be picked up from the waiting room.
NOTE: If the patient filled out their information on the patient portal before their appointment or it is a follow-up, then you can automatically change their status to "Ready for Staff" by right-clicking on the appointment from the PMS > In Progress Status > Ready for Staff.
